Configure organization Delivery Options

It’s important as the admin over your new Messages XR Enterprise platform to understand how to configure the organizational settings that will apply to message sending at each of your schools.

Benefits of Delivery Options area:

  • Consistency
  • Ability to set default delivery methods to save time / be more efficient
  • You can utilize RSS feeds to post messages to third-party websites
  • Once set, it's possible to determine when messages will start being sent

This article will focus on just one area of your organizational settings: Delivery Options. For help with the entire Organization config tab, learn more in the article, "Configure organization settings.

 

 

This is a Help for District Administrators article, providing comprehensive support for those with the highest level of access as they help their communities get started with Messages XR Enterprise.

 

Step 1: Settings > Organizational config > select school

Navigate to Settings > Organizational config tab and select school from the list of all Organizations.

Step 2: Confirm info is correct

Once you are inside of a school's settings, scan through the information that you see, confirming its accuracy.

Step 3: Scroll down to Settings > select Delivery Options

Step 4: Configure Delivery Options

Now, your Delivery Options window will appear so that you can configure which delivery options you’d like to set for a particular school. Read each section below to learn more about what your options are.

Delivery methods section

The first section is the Delivery methods area. Here, district administrators can see the delivery messaging possibilities for each school.

  • The Admin column shows you which delivery methods are available to principals and admins at this particular school.
    • Check each box to enable the delivery of messages by Phone, Email, SMS/Text, Mobile Communications App, or an RSS feed

      Important Note

      If you set the RSS feed, be sure to set the widget information in next section.

  • The Teacher column shows you which delivery methods are available to teachers at this particular school.
    • Check each box to enable the delivery of messages available to teachers in the TeacherComms tool: Phone, Email, SMS/Text

RSS widget section

Some districts like to have the option of displaying messages on their website through the use of an RSS feed because it provides a way to update content dynamically in an automated and streamlined way. The RSS widget section is where you can configure your RSS settings.

If you checked the box next to RSS as a Delivery Method in the previous section, be sure to configure the RSS widget section to determine how your RSS will display on your website.

  • Type the Title for the widget as it is to appear on your organization's website.
  • Set the Width and the Height of the widget to adjust the size of the feed as it is to appear on your organization's website.
  • Once configured, click the Update Widget button to save your changes.
  • Confirm and preview how the RSS widget will appear on your website.
  • Once you are satisfied with the widget’s appearance, copy the code from the box to then paste onto your website.

Recipients section

Do you want to automatically deliver messages to the parents of students that are selected as recipients instead of sending to the students themselves?

  • Enable delivering to the parents of selected students: Enabling this option is a good idea to provide an option to send to parents too.
  • Deliver to the parents of students by default: Check this box to make this setting the default setting when sending out messages.

Default Caller ID

Enter a number into this field that will be your default caller ID phone number that will appear on recipients’ phones when you send voice phone calls out.

Custom Caller ID

This is a place where you can add another phone number that may be used to send a phone call. Some districts will add the phone number to the attendance office that can be selected for attendance calls or even a counseling department phone number.

  • Once you enter the number, click the Add button to see the new number appear below the Custom Caller ID field.

Custom Reply-To Email Address

You can enter a Name and Reply-To Email Address to be used as a substitute for the Principal’s name when an email is sent from the school.

  • Once you enter the text into the fields, click Add to see the new information appear below and save in the system.

Required fields

Custom Caller ID and Custom Reply-To Email Addresses are required fields because they must be selected anytime a message is built out and sent.

Default message start

  • This is a default time for all new messages created to be sent from this school.
  • This option ensures that messages can’t be sent out at varying times.
  • Click into the box and select the desired time.
  • However, if you choose, leave the field blank and the time can be anytime that the sender chooses to send out messages.

Print layouts

Will you be sending paper-based or hard copy messages? If so, you can set the size and layout for printed messages here in this area.

  • Scroll down and click View/edit in the Print layouts section.
  • Select which print layout you would like to configure and adjust.
  • A new window will open where you can configure your settings.
    • You can Preview and/or Add Text/Image to your layout here, as well.

  • Click Save to confirm your new configurations.
