Manage and view Messages reports

Before moving forward in this article, be sure to check out the overview article for District Administrators, “Manage and view reports” to understand which report might be best for you in each scenario.
This article will teach you about all of the reports available in the Messages area of the Reports tab, including the following Messages reports:

 

 

This is a Help for District Administrators article, providing comprehensive support for those with the highest level of access as they help their communities get started with Messages XR Enterprise.

 

Messages reports overview

The reports in the Messages reports area help to gather data about messages going out to your community from your Messages XR Enterprise platform. There are so many flexible ways to gather your data, giving you great insight into how things are going.

Important Note

Data will be available to be populated on a message an hour after the message has expired. This data will not be included in a report until an hour after the message is sent.

Contact report

Use the Contact Report to pull data on:

  • specific people that were contacted,
  • how they were contacted,
  • what the message was regarding,
  • and who sent the message.

Important Note

This report will populate the message information an hour after the message has expired.

Here’s how it works!

Want to pull a report on only one Contact? It’s possible!

  • Skip straight to the Email/Phone field where you can search for a specific delivery method.email phone in contact report.png
  • Clicking Generate report will show you details on messaging with that particular delivery method.


Choose your filters to narrow down by the following:

  • School to track a specific school’s contacts.
  • Message category dropdown allows you to select as many categories of messages you’d like to include in this report.
  • Recipient type is where you can check boxes to include certain recipients in this report.
  • Which information to Sort By when displaying results including the following options: Name, Regarding, Status, Date/Time, Destination, and Sender.
  • Date range: Choose the time period you’d like the report to include.
  • Status: Track different delivery statuses such as “Delivered,” “Confirmed”, “Not delivered”, “Busy” and so many more options. This will give you great data connected to each of your contacts in different delivery statuses.
  • Email/Phone is a field to use when you want to only search for data on one contact’s delivery method at a time.

Once you have set your report fields, you are ready to view your report!

  • Click Generate report to view your report.
  • Browse through your results with the arrows to view pages in the Reports feature.

The report will display the recipient name, the reason for the message, student identification and grade level, message status, date and time of the delivery, how the message was sent, a link to view or hear the message, and the name of the sender.

Contact Report Actions!

You’ll see icons in each row of the generated Contact report. These icons allow you to take certain quick actions:

  • Eyeball: View the message
  • Print: Print out the message
  • Speaker: Listen to the audio file of this message contact report actions.png
  • Schedule this report to be delivered to you on an ongoing basis as often as you’d like.
  • Print: Click this button to automatically print out your report or save it as a PDF.
  • Export: Clicking this button allows you to enter your email address or Download results to your device

Excused absences report

Use the Excused Absences report to see:

  • excused absences,
  • the date of the absence,
  • date of the excuse,
  • and the phone number called regarding the absence.

Here’s how it works!
Choose your filters to narrow down by the following:

  • School to track a specific school’s excused absences
  • Date range: Choose the time period you’d like the report to include.
  • Sort by: How would you like your report to be sorted? By recipient? By date?

Once you have set your report fields, you are ready to view your report!

  • Click Generate report to view your report.
  • The Schedule button allows you to set a regular delivery of this report.
  • Browse through your results with the arrows to view pages in the Reports feature.

The Excused absences report will display the message recipient, the reason for the message, the school name, the date of the absence, the excuse for the absence, the date and time the absence, what was reported, and how the absence was sent. Great information for you to use to track student attendance.

Message tracking report

This report is such a wonderful resource for tracking all of the details of the messages sent from each school, including when the messages were sent, and who received the messages. You can even cancel or resent messages from within the Message tracking area.

You can find the Message tracking report in two places:

  • In the Messages reports section
  • In the top tab of the Reports area

Message trends report

This report provides a statistical comparison report in graph format, showing you the amount of messages being sent during a specific date range or over the past 24 months. Seeing the data this way provides for you a unique way to analyze and learn from the message trends within your district or school.message trends report final.png

Here’s how it works!

Choose your filters to narrow down by the following:

  • School dropdown allows you to select a school where you can track a specific school’s message sending, or select “All” to include all in the report. You can even select groups such as, “All High Schools” or “All Elementary Schools” to combine this data together.
  • Message category: It may be helpful for the report to include certain categories of messages in the report. Select one or even multiple categories to highlight in this visual graph.
  • Start month: Choose the month that the report will start pulling message sending trends from.
  • End month: What will be the cut-off month ending the range of time.
  • Compare: This is a very powerful dropdown because it allows you to measure the trends over periods of two, three, four, or more (up to ten) years at a time. https://fnlst.com/i/GYjZ6a
  • Show individual schools: Check this box if you’d like to display the names of schools in your graph report.
  • Group results by student: Checking this box groups your results in a way that students will be highlighted in the report.

Once you have set your report fields, you are ready to view your report!

  • Click Generate report to view your report.
  • Click into the graph report to adjust your data in ways that are helpful for your analysis.

Message utilization report

Use the Message Utilization report to see the breakdown of messages by category, resulting in more thorough understanding of the types of messages being sent from the school and school district.

Here’s how it works!

Choose your filters to narrow down by the following:

  • School dropdown allows you to select a school where you can track a specific school’s message sending, or select “All” to include all in the report. You can even select groups such as, “All High Schools” or “All Elementary Schools” to combine this data together.
  • Message category: It may be helpful for the report to include certain categories of messages in the report. Select one or even multiple categories to highlight in this visual graph.
  • Date range: Decide the date range of messages data you’d like this report to include.
    Arrange Data: Choose one radio button next to your choice of how you’d like to arrange your data:
  • By school: The data will be organized and segmented by school.
  • By message type: Message types will be organized and able to be read together.
  • Include Charts: Check this box to include charts for all sub-organizations. The benefit here is to provide a visual chart for each school so that you can measure the effectiveness and proper utilization of your message sending by sub-organization.

Once you have set your report fields, you are ready to view your report!

  • Click Generate report to view your report.
  • Scroll to view all of your data.
  • Print: Click this button to automatically print out your report or save it as a PDF.
  • Export: Clicking this button allows you to enter your email address or Download results to your device

Teacher messaging report

Use the Teacher Messaging report to see a breakdown of messages sent by teachers. The report displays the breakdowns of message types and the number of students and parents contacted.

Important Notes

  • The Teacher messaging report is only available to organizations who have the TeacherComms add-on included in their MXRE platform.
  • For district administrators, this report will allow you to drill down into each school’s details.
  • For all administrators, the school report will allow you to drill down into the individual teacher detail within your assigned school.

Here’s how it works!

  • School dropdown allows you to select a school where you can track a specific school’s message sending by teacher, or select “All” to include all in the report.
  • Date range: Decide the date range of messages data you’d like this report to include.

Once you have set your report fields, you are ready to view your report!

  • Click Generate report to view your report.
  • The Schedule button allows you to set a regular delivery of this report.

You can even view your report data by teacher only.

  • Print: Click this button to automatically print out your report or save it as a PDF.
