With Messages XR Enterprise, you can go to your Library tab to manage the visibility of any pre-made messages that live in your users' Saved Messages area on their behalf, depending on school type. This article will show you how it works!
This article exists to provide District Administrators, School Administrators, and Principals with everything they need to understand how to manage Messages XR Enterprise on behalf of their teachers and staff.
Admins such as district admins, superintendents, school admins and principals have the ability to manage whether or not pre-made messages will appear for teachers and other lower level roles to use in the Saved Messages area.
Which roles can manage pre-made message visibility?
- Are you a school admin or principal? You can manage the message visibility of pre-made messages only for your assigned school type. For example, high school principals will see the ability to adjust settings only for your own high school.
- District administrators and superintendent roles can manage the visibility settings for all organizations within their Messages XR Enterprise platform, no matter which school type.
Do you see a Teacher Communications messages tab next to School messages?
When you open up your Library tab, you may see two different sets of message categories:
-
Teacher Communications messages: Does your platform include the Teacher Communications messaging platform for teachers? If so, you can manage the pre-made messages that show up for teachers.
- Teacher Communications is a purchased add-on to Messages XR Enterprise, built specifically for educators. It enables teachers to easily message individual students, entire classes, multiple classes, or parents via email, text/SMS, and—if enabled by your district—phone messages. To learn more, reach out to your Client Success Manager or email clientsuccess@finalsite.com.
- School messages: This is the default set of messages that can be managed here. This determines whether any of these categories show up. They can be hidden or displayed by School Type (e.g. High School, Elementary).
Manage message visibility for Teacher Communications messages categories
Step 1: Navigate to Messages > Library tab
Be sure that you are logged in as an administrator role.
Step 2: Be sure "Teacher Communications messages" tab is selected
Here you can see the message categories that exist for your Teacher Communications users when they open up their Saved Messages area.
Step 3: Click the Show message visibility checkboxes option
This option allows you to show or hide messages based on school type (e.g. High School, Elementary School).
Step 4: Select a Category
Once you select a category, such as "Class Achievement", as long as your Show message visibility checkboxes option is checked on, the system will populate a list of all of the messages organized by Message Name that exist within that category.
Important Notes
- The percentages next to each checkbox indicate how often a message is sent compared to other messages for that school type. This helps you to gauge the impact to your users should the message be turned off.
- Messages with the checkbox enabled will be available to senders at that school type.
Step 5: Uncheck boxes to hide certain messages within that category
By default, each message in a category will be checked to "Show" the message in your users' Saved messages area. Uncheck a box under the school type category to "Hide" this message.
Step 6: Click Save to save the changes
Once you have unchecked boxes, clicking Save means those messages will now be hidden from the Saved Messages area in any Teacher Communications user's messages area.
