Configure message sending thresholds by role with recipient count confirmation

This article covers how recipient count confirmation works in Messages XR Enterprise, including how to configure role-based thresholds and how the confirmation experience applies to message senders.

💡Quick answers

  • What does this feature do? It shows a confirmation prompt when a user tries to send (or schedule) a message to more recipients than the configured threshold for their role. This gives senders a chance to review before the message goes out to a large audience.
  • Is this feature on by default? No. No thresholds are configured out of the box. The feature is opt-in: nothing changes for existing senders until an administrator adds at least one threshold rule.
  • Who can configure thresholds? This feature will be enabled by default for Administrator roles (District Administrator, School Administrator). Reach out to Finalsite Support to have the ability to configure roles granted to other members of your team.

Overview

Recipient count confirmation is a safeguard that reduces the risk of messages being sent to the wrong audience. The Role configuration page lives at Settings > Organization (select one) > Role configuration

  • Sender selects recipients and submits the message. 
  • If the recipient count exceeds the threshold for their role, a confirmation modal appears. 
  • Sender confirms and proceeds, or goes back and adjusts the recipient list. 
  • If the revised count falls below the threshold, the message sends without a prompt.

This applies to both immediate sends and messages scheduled for future delivery. Contact Finalsite support or a system administrator to confirm whether this page is available for a given organization.


Configure recipient count thresholds

Add a threshold rule

  • Step 1: Navigate to Settings > Organization > Role configuration.
  • Step 2: Click + Add threshold button. A new threshold row appears.
    Each rule reads as a sentence: 
    Require confirmation when [role] sends to more than [number] recipients.
  • Step 3: Set the recipient count. The default is 1,000. Adjust this to the number that makes sense for the roles being configured.
  • Step 4: Select the roles the threshold applies to. All roles in the system are preselected by default. Remove any roles that should not be subject to this rule, or clear the selection and choose specific roles.
  • Step 5: Click Save.

Add multiple threshold rules for different roles

Multiple rules can coexist on the same page. Use this to set different thresholds for different roles. For example:

  • District administrator: confirm when sending to more than 5,000 recipients.
  • Teacher: confirm when sending to more than 100 recipients.
  • Transportation coordinator (custom role): confirm when sending to more than 500 recipients.

Repeat the steps above to add each rule. If a role is covered by more than one rule, the system applies the rule with the lowest recipient count.

Remove a threshold rule

Delete any existing rule from the Role configuration page to remove that threshold. Senders in the affected roles will no longer see the confirmation prompt once the change is saved.


How the confirmation works for senders

When a sender composes a message and the selected recipients exceed the threshold for their role, a confirmation pop-up appears before the message is submitted. The Recipient count confirmation window displays the total recipient count and asks the sender to Confirm before proceeding.

At that point the sender can:

  • Confirm and send: proceed with the current recipient list.
  • Go back and adjust: return to the message composer, remove or change recipients, and try again. If the revised count falls below the threshold, no confirmation appears.

If no thresholds are configured for a role, or if the recipient count is at or below the threshold, the message sends without any additional prompt.


Apply settings to child schools

Thresholds configured at the district level apply only to the district organization. Each child school starts with no thresholds of its own. To apply district settings to one or more schools:

  • Step 1: On the district's Role configuration page, click Copy settings to schools.
  • Step 2: Select the specific schools to receive the settings, or choose Select all to apply to every child organization.
  • Step 3: Choose which settings to copy. Currently, Recipient count confirmation is the only available option. Additional settings categories will appear here as the feature set expands.
  • Step 4: Confirm the action. The selected thresholds are applied to each chosen school.

After copying, each school's thresholds can still be edited independently. A subsequent copy from the district will overwrite any school-level customizations for the copied settings.


Default behavior and opt-in nature

By default, no thresholds are configured anywhere in the system. Existing clients and schools are not affected when this feature is enabled: message sending continues without any confirmation prompts until an administrator explicitly adds threshold rules. The feature is fully opt-in.
