Understand Delivery Preferences in Global settings

This article details the Delivery Preferences options that Finalsite Support configures on your behalf in Messages XR Enterprise, including the Phone, SMS/Text, and Email delivery modes and the Required and Fallback options.

⚠️ Important Note

Contact Finalsite Support to receive assistance with configuring these preferences, to review, or make any changes to these options. A change can alter which addresses receive each type of message across the organization.

💡 Quick answers

  • Who configures Delivery Preferences? Finalsite Support configures these options. Most organizations set them during implementation and rarely change them.
  • Which delivery modes have their own defaults? Phone, SMS/Text, and Email each have a block of settings.
  • Which message types are configured for each delivery mode? Emergency, Attendance, Balance, Survey, and Other. Survey messages include selectable response options, and Other covers every message type not listed.
  • What does Required do? Required locks an address on for that message type, which removes the recipient's option to disable it in their own account. Opting out is handled separately.
  • What does Fallback do? When a recipient has no address for the labels checked for a message type, the message goes to the next label marked Include in fallback, in numbered order.
  • How do these options relate to recipients' own choices? These sender defaults work together with the options each recipient chooses in their own account.
  • Where is a change requested? Contact Finalsite Support. See Contact and emergency support information.
  • Where do recipients choose their own delivery options? In the Delivery Preferences tab of the account profile. See Families: Manage your account profile and preferences.

Review the Delivery Preferences page

The Delivery Preference Defaults page is organized by delivery mode. Each mode has its own block of settings, and each block uses the same columns.

Related delivery settings

The options on this page are sender defaults. They work together with the delivery options that recipients choose in the Delivery Preferences tab of their own account profile. Delivery Options are configured separately for each organization. See Configure organization Delivery Options.

Review page settings

Setting Description
Required A row with one checkbox for each message type. A checked box locks the address on for that message type, which removes the recipient's option to disable it in their own account. Opting out is handled separately.
Fallback A row with one checkbox for each message type. A checked box turns on fallback for that message type. When a recipient has no address for the labels checked for that message type, the message goes to the next label marked Include in fallback.
Labels Lists the address labels for the delivery mode in numbered order, such as 1. primary, 2. mobile, 3. work, 4. other, and 5. home for Phone. The number sets the fallback order.
Include in fallback A checkbox for each label. A checked box makes that label available as a fallback address.
Count Displays the number of accounts with an address saved under that label. Counts vary by delivery mode based on the contact information in the account data.
Message type checkboxes A checked box sends that message type to that label. A message goes to every label that is checked for its message type.

Understand how Required and Fallback work

Required and Fallback apply to each message type in each delivery mode block.

  • Required: A recipient who has an address in their account can usually disable it in their own interface to stop receiving messages. When Required is selected for a message type, the address is locked on, which removes that option. Opting out is handled separately.
  • Fallback: When Fallback is selected for a message type and a recipient has no address for the labels checked for that message type, the message goes to the next label marked Include in fallback. Labels are tried in numbered order.

Request a change to Delivery Preferences

Finalsite Support configures Delivery Preferences. Contact Finalsite Support to review or change these options, and include the delivery mode, the address label, and the message types involved. Contact Finalsite Support for any assistance.

 Real-world scenarios

The Phone block in the screenshot shows how message types are matched to phone labels.

  • Emergency messages: Emergency is selected for every phone label, so urgent messages reach every number on file.
  • Routine messages: Attendance, Balance, Survey, and Other are selected for the primary and home labels.
  • Fallback: Fallback is selected for Attendance, and every Phone label is marked Include in fallback. A family with no primary or home number receives the attendance call at the next numbered label that has a number, such as mobile.

Finalsite Support can adjust these selections to match the way the community receives each type of message.
