Manage the Upload photos tab

This article explains how district administrators can bulk upload staff and student profile photos in Messages XR Enterprise using the Upload Photos tab, including file naming requirements and upload steps.

  • How many times per school year can bulk photo uploads be performed? Bulk uploads can be performed up to two times per school year, with most schools doing so at the start of the year.
  • Uploading profile photos for all students at once? Save photos in a folder, rename each file using the student's ID and file extension (e.g., 123456.jpg), select the Student account type, then drag and drop the files into the Upload Photos area.
  • How should photo filenames be formatted to match user accounts? Name each file using the Account ID followed by the file extension - for example, 123456.jpg for a user with ID 123456.
  • What if student and staff ID numbers overlap? Prefix the filename with "Student" or "Staff" before the ID to distinguish them, for example, Student_123456.jpg and Staff_123456.jpg.
  • Can individual photos be updated outside of a bulk upload? Yes, individual adjustments can be made throughout the year for new students or staff changes.

Step 1: Save photos

Save student and staff photos in separate folders.

Step 2: Rename photos 

Rename the student and staff photo files in the following way:

  • Staff ID or Student ID followed by the file extension.
    <account id>.<file extension>
    • For example, if a staff ID is 123456, the photo file would be named 123456.jpg.
  • If there is an overlap in naming conventions between students and staff, include the word “Student” or “Staff” before the ID.
    • For example, if your students and staff have overlapping IDs (Staff ID 123456 and Student ID 123456), then there will be two files: Staff_123456.jpg and Student_123456.jpg

Step 3: Select Account type 

In the dropdown next to Account type, select whether you are uploading Student or Staff photos.

Step 4: Upload photos

In the Upload Photos tab within the Accounts area, Drag and drop your account photos into the upload box.
