What is Messages XR Enterprise?

Messages XR Enterprise is a mass notification and communication platform designed for K-12 schools and districts, enabling administrators to send messages across multiple channels (email, SMS, voice, push notifications, social media), manage contact information, and automate routine communications like attendance and lunch balance alerts. This solution integrates with the school or district’s student information system (SIS), supports custom communication preferences, and offers detailed reporting on message performance and engagement.

With Messages XR Enterprise, you can view, create, send, and track messages.

  • Segment your users into targeted recipient groups, approve messages sent by staff members, and access your inbox and outbox for messages.
  • Integrate with your school or district’s student information system (SIS), so you can ensure your whole community receives messages quickly and reliably through their preferred channels, and at-scale.
  • Write your message once and select as many delivery options that are available to your district. Select phone messages, emails, your mobile site, your website, any RSS feeds, or social networks.

1. This quick tutorial will show you the basics on how to get started in your new Messages XR Enterprise platform.

Once you've received your platform URL and enter it into your browser, then you'll see a login screen.

2. Depending on your district or school's method of logging in, you may need to enter the User ID provided to you along with a password.

More often, though, schools with Google will serve as the primary authentication method.

3. Login in using Google or an SSO here. There are also additional single sign on methods that some schools utilize such as LDAP and SAML,

Your implementation team will help you select the authentication method that works best for you.

4. Rest assured that there is a process for any of your users who might have forgotten their password.

Keep in mind that when clicking Forgot my password, it's necessary to enter a User ID in order to move forward in the password reset process.

5. Once you are logged in you'll arrive at the Messages XR Enterprise Dashboard.

This is your starting point for managing your communication workflow.

6. Your tabs in the left navigation take you to the areas that you are looking for.

Catch a quick glimpse of these main areas. Click the Messages tab.

7. In Messages, you will create and manage your messages.

Learn more about each of the tabs you see here at the top in the Knowledge Base article, "Manage your messages in the Messages area."

8. Let's create a quick message just to get you started.

Start with your Title.

9. Once you add your title, it will autopopulate into the Subject field.

Next you'll search for and add recipients to the message using one of the methods that appear.

10. In the List tab, expand out and select any of your groups. You can even create a new group in this window, if you'd like.

Click My Group to expand out the groups.

11. We'll select Student, Parent, and Staff roles for this message. Click the checkbox next to Staff.

12. The right-hand panel is where all of your selected recipients will display.

13. Click Done to get back to our message.

14. Next, in the Content area, type your message into the box beneath the Subject field. Then, soon, you'll see your message text sync into the delivery method channels you choose to utilize, such as Email, SMS Text message, and more!

15. Click the Email icon to modify the details that will be sent out as an Email message.

16. See the message that automatically synced over? Click << More to expand out your editing toolbar so you can customize your Email message.

17. Now you can see the full editing toolbar with so many options to choose from.

Another great feature is the ability to go into Fullscreen, giving you more space to edit your email message.

18. This gives you a much more spacious workspace!

When you're done, click the Fullscreen icon again to return to the message creation area.

19. We can also send this message to users' mobile apps as a push notification.

Select the Mobile app icon. Once selected, it will be filled in.

20. In the Mobile app area, configure your message to be included in push notifications if you have a mobile app that is integrated with Messages XR Enterprise.

21. Some may prefer SMS/Text message as their top preference for receiving communication.

22. You may need to shorten the content that appears in the Text Message box.

SMS/Text messages are limited to 140 characters only or there is the option of adding SMS-Plus which provides an upgrade of 280 characters.

23. Send your message out as a Voice message.

24. The Audio dropdown shows you the different ways you can create the audio that will go out in your Voice message.

25. Push messages to social media to further increase your engagement and widen your recipient pool!

26. Click X to send to any configured X / Twitter accounts.

27. Keep your message to 140 characters or less.

Make sure you connect and manage all of your accounts ahead of time in the Settings > Social Media Accounts area.

28. Once you are all set, click Send Message. You can schedule a message, even to go out multiple times, or Send it now.

29. Next check out the Accounts tab where you can manage your users.

30. In the Accounts area, you can browse through users or search for them individually to view and manage various details as needed. The article, "Manage your community's user accounts" will show you what you can do here.

31. Click Reports to see the next area.

32. In the Reports area, you can schedule and pull all types of reports, giving you valuable data. The article, "Manage and view reports" shows you how it works, even providing a list of the Top 10 Most Popular Reports!

33. One example is the Message tracking report, one of the most helpful reports available for you and your team to analyze and improve your strategies.

34. Once you run the report, you can view progress bars for each send, giving you a status on message delivery and reader engagement.

35. Click Settings to see what's next!

36. Here you'll configure your Settings such as default delivery options and modify basic foundational information about each organization, should you need to make any adjustments.

School admins, principals, and teachers can choose from a List of contacts here which can be configured in your organizational settings.

39. In the top right corner, you'll see your My Account dropdown.

40. In this dropdown, all users have a Profile.

41. The Profile is where each can configure individual settings such as personal addresses and contact information, profile photo, notification preferences and more.
